Overview

THIS IS A REMOTE POSITION BUT CANDIDATE MUST LIVE IN ONE OF THE FOLLOWING STATES: MN, IL, WI, FL, CA, NY, GA, MS, ID or VA.

 

The Grants Management Specialist is responsible for managing the grants lifecycle, which includes funding from private foundations, corporate philanthropy, and government/public funds. This role executes pre- and post-award grant processes to ensure compliance with organizational and financial policies. The top priority of this position is to ensure the organization remains compliant with all grantor requirements. This role works independently on a variety of grants/contracts that range from simple to highly complex. 

 

Pre-award responsibilities include the coordination and review of grant proposals. This position serves as a resource for staff, ensures grant proposals are developed and submitted following grantor and organizational processes. Post-award responsibilities include coordinating grant reporting and monitoring activities as well as ensuring compliance and accountability of funds. This role requires close communication with the organization’s Managing Director, Executive Directors, senior leadership team and finance staff.

Responsibilities

Pre-Award

  • Exhibit outstanding attention to detail when reviewing grant documents and budgets, examining them for completeness and accuracy and their adherence to policy; provide appropriate approvals to enable their smooth and prompt processing.
  • Coordinate grant budget development between program and finance staff. v
  • Read federal AmeriCorps Notice of Funding Opportunities posted by AmeriCorps and state service commissions in order to customize and update AmeriCorps’ Notice of Funding Opportunity internal application checklists for program and fiscal staff to use when applying.
  • Enter grant application data into grant management database.
  • Track application due dates and award notification dates on grants calendar.

 

Post-Award

  • Oversee the delivery and tracking of grant agreements and amendments, including requests for internal reviews and revisions.
  • Collaborate closely with the Finance Department to submit grant expenditure requests.
  • Coordinate response to funder requests for information (example: reporting, audits, and monitoring reviews) to ensure all information is gathered across departments and submitted on time.
  • Provide program and finance staff with grant reporting requirements and ensure all grant reports are submitted at least one day ahead of the stated deadline.
  • Create and update Key AmeriCorps Performance Metric documents for grant leads to complete. Monitor completion and provide training and technical support to grant leads, as needed.
  • Schedule and attend bi-annual grant management meetings for all AmeriCorps grants and ensure meeting documentation and follow-up is kept.
  • Ensure proper documentation of grant requirements is retained according to record retention policy.
  • Enter and maintain grant data in grant management database.

 

Grant Compliance

  • Ensures compliance with all laws, ordinances, rules, regulations, standards, and policies and procedures, grant terms and conditions, and Uniform Guidance.
  • Create Grant Info Sheets from grant agreements or contracts. Share with appropriate departments to ensure grant compliance requirements are implemented.
  • Lead monthly grant meetings between state program staff and finance staff to ensure open channels of communication about each state’s grants.
  • Attend state service commission meetings to keep informed on commission requirements.
  • Review and approve benefit category requests to ensure they are in alignment with the awarded grant.
  • Act as back-up for approving compelling personal circumstance exits for Grants Manager.

Qualifications

Minimum Education

  • Bachelor’s degree or equivalent experience

 

Minimum Experience

  • 3+ years of experience in a non-profit setting 
  • Previous grant and contract experience desired
  • Proven interpersonal skills including the ability to build relationships, solve problems, manage conflict, and exercise sound judgment.
  • Ability to structure and prioritize tasks, projects, and deadlines in a fast-paced evolving environment.
  • Ability to set, meet, and manage goals and deadlines.
  • Ability to work effectively in collaboration with diverse groups of people.
  • Commitment to develop equity skills and cultural competence.
  • Proven initiative, problem solving, and critical thinking skills. Ability to work independently.
  • Experience working with diverse communities and commitment to supporting all members enrolled in our programs.
  • Strong technology skills. Ability to utilize video conferencing effectively.  Ability to troubleshoot technology issues and identify solutions to technology challenges.
  • Experience with MS Office Suite
